Purpose
This policy explains how DTF handles personal information in accordance with the Privacy and Data Protection Act (2014) (Vic).
It applies to all staff at DTF. It does not apply to DTF’s portfolio agencies or the State Revenue Office.
About DTF
DTF provides economic, financial, infrastructure, commercial and industrial relations advice to help the Victorian Government make choices about the economy and public services.
To do this work, we sometimes need to collect personal information.
Personal information we collect
DTF may collect:
- information that identifies a person (personal information)
- information that relates to health or health care (health information)
- information that relates to a person’s race, religion, beliefs, union membership, sexual matters, or criminal history (sensitive information).
In this policy, “personal information” means all of these types of information.
How we collect personal information
We may collect personal information in these situations:
- when people contact us with questions about our work
- when making job applications
- when we receive Freedom of Information requests
- when other agencies send us records
- when people write to us to complain.
We may collect personal information by phone, online, on paper, or in person.
When we ask for personal information, we explain why we need it. We also explain how we will use it. We tell people if the law requires them to provide the information, and what will happen if it’s not provided.

How we use and share personal information
We use personal information only for the reason we collected it.
We may use or share it for another reason if the law allows it.
In some cases, we may share personal information with other agencies. This includes the police when the law requires it.
Making sure personal information is correct
We take reasonable steps to make sure that the personal information we hold is complete, correct and up to date.
When we no longer need the personal information, we delete it as required by law.
People may ask us to update their personal information at any time.
Keeping personal information safe
DTF protects personal information from loss and misuse.
We store information in secure systems.
We keep information only for as long as it is needed.
We have processes in place to deal with data breaches.
Accessing and correcting your information
People may ask to see the personal information we hold about them.
They may also ask us to fix errors by email to privacy@dtf.vic.gov.au.
Unique identifiers
DTF does not give people unique numbers to identify them, unless the law requires it.
Staying anonymous
Where the law allows, people may contact DTF anonymously.
Sending information outside Victoria
DTF sends or stores personal information outside Victoria only if:
- the other place has similar privacy rules
- the person agrees
- it is needed for a contract
- it helps the person and consent is not practical
- we take steps to protect the information
- the law requires it.
Complaints
People may make a privacy complaint to DTF by sending an email to privacy@dtf.vic.gov.au.
People may also make a privacy complaint to the Office of the Victorian Information Commissioner or the Health Complaints Commissioner.
Openness
This policy is publicly available on our website.
We can also provide a printed copy on request. We review this policy regularly and update it when laws or services change.
