Fleet management

Overview

VicFleet Management and Leasing services include procurement, registration, maintenance, advice, education and reporting.


Vehicle procurement:

  • complete replacement request forms;
  • obtain quotations on behalf of client;
  • negotiation of options included in vehicle price; and
  • place orders.

Vehicle delivery:

  • accept delivery from dealership;
  • arrange for vehicle fit-outs;
  • process payment of invoices on behalf of clients;
  • arrange transport to client;
  • trigger lease activation; and
  • work with clients to achieve optimal vehicle replacement cycle.

Registration of vehicles:

  • vehicles registered correctly; and
  • arrange annual common expiry registrations.

Provision and maintenance of fuel cards:

  • ordering fuel cards on behalf of client;
  • fuel cards provided prior to delivery of vehicles;
  • fuel data accepted on behalf of client;
  • fuel invoices forwarded directly to client by fuel provider if required;
  • provide exception fuel reports;
  • cancel or hot-list fuel cards for vehicles stolen or being disposed of; and
  • organise replacement fuel cards.

Maintenance:

  • maintain a list of approved repairers and dealerships;
  • arrange servicing;
  • arrange transport;
  • Authorise repairs;
  • pay invoices on behalf of clients;
  • tyre management; and
  • arrange non-scheduled maintenance and repairs.

Accident management:

  • assist in preparation of claims forms;
  • arrange transport to and from repairer; and
  • windscreen replacement.

Management of penalty infringements:

  • receive traffic infringements on behalf of client;
  • process statutory declarations on behalf of client; and
  • notification of client's areas not responding to statutory requirements.

End of lease vehicle disposal:

  • arrange transport;
  • liaise with disposal agent and client; and
  • process invoices.

Provision of professional fleet advice:

  • fleet mix;
  • replacement criteria;
  • operational suitability;
  • whole-of-life fleet analysis; and
  • assistance with FBT.

Driver education:

  • driver training and education programmes available with vehicle purchase from Ford, and Holden.

Client reports:

  • odometer reading reports;
  • projected changeover reports;
  • fuel usage reports; and
  • standard and ad hoc reports available.
